We are looking for a Legal Assistant to join our growing team in our Malta office

Main responsibilities:

  • Providing administrative support to the internal legal department;
  • Being responsible for and coordinating internal administrative processes within the legal department including but not limited to: 
    • coordination of initial contract drafting requests and ensuring necessary documentation is provided as per internal working procedure; 
    • coordination and follow-up for contract draft approval process with stakeholders; 
    • agreement signature coordination; 
    • maintaining overviews of department projects and day to day work; 
    • regular reporting to team lead and other stakeholders as necessary; 
    • drafting of internal procedures and various internal notices.
  • Uploading of fully signed agreements in internal CRM system as well as data entry for relevant contract information in system records;
  • Performing basic due diligence checks on potential clients prior to the contract drafting and negotiation phase;
  • Effectively communicating with internal stakeholders on all levels;
  • Monitoring of progress of internal team goals and objectives and regularly reporting on progress as well as follow-up;
  • Keeping information confidential;
  • Other support services including taking minutes of meetings if required;
  • Any other legal assistance task as may be required from time to time depending on necessities of the legal department.

Requirements: 

  • Previous legal secretary experience is preferred, but not required 
  • Good secretarial skills, such as an eye for detail, conscientiousness, proactivity, ability to approach work in a structured manner and excellent memory 
  • Enjoy working in a busy environment 
  • A spirit of co-operation and a positive attitude 
  • Excellent English verbal and written communication skills are essential including the ability to relate to people at all levels 
  • Good at spelling and grammar 
  • Ability to effectively prioritise, excellent organisation and administrative ability 
  • Ability to use initiative and to work well under pressure / to deadlines 
  • High proficiency in all Microsoft office packages is a must 
  • Good team player 
  • Ability to multi-task 
  • Personable, but highly professional
